Here's exactly what we collect, what we don't, and why.

We never store payment info
WorkTrophy never sees, handles, or stores any payment details. Checkout happens directly with the gift provider (e.g. Amazon). We're completely out of the loop.

We never store addresses
We don't collect shipping addresses. Ever. Delivery is handled entirely between you and the provider. We have no idea where anyone lives.

No employer involvement
WorkTrophy is entirely personal. We don't contact your employer, we don't integrate with HR systems, and we don't share anything with anyone's company.

We only email what's necessary
Recipients get one notification email when a gift is sent, and an optional confirmation prompt. Senders get a receipt and confirmation notice. That's it.

Gifts expire and are deleted
Gift records don't live forever. Unconfirmed gifts are marked expired after 90 days, and data is periodically purged. We're not building a database of your generosity.

No tracking, no ads
We don't run ads. We don't use tracking pixels. We don't sell data to third parties. WorkTrophy doesn't have a business model that depends on your personal information.

1. Who we are

WorkTrophy ("we," "us," "our") is an independent platform for sending peer-to-peer workplace recognition gifts. We are not affiliated with any employer, HR software provider, or gift marketplace.

2. What information we collect

When you create a gift on WorkTrophy, we collect:

  • Sender name and email address — so we can send you a receipt and a confirmation when your gift is received.
  • Recipient email address — so we can notify them that a gift is on its way.
  • Your message — the recognition text you write, stored as part of the gift record.
  • Gift product selection — which product option you chose from our curated list.

We do not collect: payment information, shipping addresses, phone numbers, employer details, or any information beyond what is listed above.

3. How we use your information

We use the information collected solely to:

  • Notify the recipient that a gift is being sent to them
  • Send the sender a checkout link to complete their purchase with the provider
  • Allow the recipient to optionally confirm receipt of their gift
  • Notify the sender when confirmation is made

We do not use your information for marketing, profiling, or any purpose beyond facilitating the gift transaction described above.

4. Payment and checkout

WorkTrophy does not process payments. When you click the checkout link, you are redirected directly to the third-party gift provider (such as Amazon). Any purchase you make is subject to that provider's terms and privacy policy. WorkTrophy receives no payment data and has no visibility into whether or how a purchase is completed.

Where applicable, checkout links may include an affiliate referral tag (e.g. an Amazon Associates tag). This does not affect the price you pay and does not transmit any personal data to us.

5. Data sharing

We do not sell, rent, or share your personal information with third parties, except:

  • Email delivery providers — we use a transactional email service to send notifications. These providers process email addresses solely for delivery purposes and are contractually prohibited from using data for any other purpose.
  • Legal requirements — if required by law or valid legal process, we may disclose information as necessary.

6. Data retention

Gift records are retained for up to 90 days after creation. Gifts that remain unconfirmed are marked as expired after 90 days. We periodically purge old records. If you would like your data deleted sooner, contact us and we will remove it promptly.

7. Cookies

We use a single, functional cookie (wt_theme) to remember your light/dark theme preference. This cookie contains no personal information and is not used for tracking. We do not use advertising cookies, analytics cookies, or any third-party tracking cookies.

8. Your rights

You have the right to request access to, correction of, or deletion of any personal data we hold about you. To exercise these rights, contact us at the address below. We will respond within 30 days.

9. Security

We take reasonable technical measures to protect the information we hold, including encrypted connections (HTTPS) and access controls. However, no system is perfectly secure — we encourage you to contact us immediately if you believe your data has been compromised.

10. Changes to this policy

We may update this policy from time to time. If changes are material, we will update the "Last updated" date at the top of this page. Continued use of WorkTrophy after changes constitutes acceptance of the updated policy.
